Description

We are seeking a friendly and professional Receptionist to be the welcoming face of our organization and provide exceptional customer service to visitors, clients, and staff. As a Receptionist, you will be responsible for creating a positive first impression for all visitors and callers. Your key responsibilities will include, but are not limited to:

Responsibilities:

Front Desk Management:

  • Greet visitors with a warm and welcoming demeanor, directing them to the appropriate person or department.

  • Answer and direct incoming phone calls in a professional manner, taking messages as needed.

Visitor Assistance:

  • Register visitors and issue visitor badges, ensuring compliance with security procedures.

  • Provide information about the organization, its programs, and services to visitors and callers.

Appointment Scheduling:

  • Assist in scheduling appointments, meetings, and conference room bookings as requested.

  • Maintain and update the appointment calendar to ensure accuracy and efficiency.

Mail and Email Handling:

  • Sort and distribute incoming mail and packages to the appropriate recipients.

  • Monitor and respond to general email inquiries, forwarding messages to the appropriate staff members.

Office Support:

  • Assist with basic administrative tasks, such as filing, copying, and data entry, to support the office operations.

  • Coordinate office supply orders and maintain inventory levels.

Communication Liaison:

  • Serve as a liaison between visitors, staff, and external stakeholders, conveying messages and requests effectively.

  • Communicate with staff members regarding visitor arrivals and other relevant information.

Security and Safety:

  • Monitor the lobby area to ensure the safety and security of visitors and staff.

  • Follow emergency procedures and protocols in case of incidents.

    Requirements

  • Previous experience as a receptionist or in a customer service role is preferred.

  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.

  • Strong organizational skills and the ability to multitask in a fast-paced environment.

  • Proficiency in Microsoft Office Suite and basic office equipment.

  • Commitment to maintaining confidentiality and professionalism at all times.

Education:

  • High school diploma or equivalent. Additional education or training in office administration or customer service is a plus.
