Westchester Jewish Community Services Administrative Assistant in Hartsdale, New York

Overview:

Under the general supervision of the Senior Administrative Assistant, the Administrative Assistant plays a crucial role in supporting the operations of the Trager Lemp Center for Trauma and Resilience (TLC) program. The c ompensation is $44,000/yr.

Responsibilities:

As a valued member of our team, your responsibilities will include, but are not limited to:

  • Receive and screen all incoming referral calls for the TLC program.

  • Track, coordinate, and facilitate client referrals and to ensure seamless connections.

  • Inputting referral data accurately into our electronic health records system.

  • Maintain referral databases for reporting and statistical purposes.

  • Oversight of program time sheets.

  • Assist with day to day operations of the TLC program.

  • Schedule meetings for the team and management as needed.

  • Attend team meetings regularly, take minutes, coordinate meetings, coordinate requests on behalf of the clients, and ensure organization of the calendar.

  • Handle requests for records and maintain compliance with agency policies, procedures, and regulatory directives.

  • Assist with special projects or ad-hoc tasks.

  • Copying, filing, reporting, ordering and maintaining records.

  • Perform general administrative tasks, such as copying and filing, as well as other duties necessary to provide support to the TLC team.

    Requirements:

    We are seeking candidates who possess the following qualifications:

  • An associates degree or 5 years of experience in an Administrative Assistant role.

  • Excellent organizational skills and attention to detail.

  • Outstanding customer services abilities.

  • Proficiency with computer skills, namely Microsoft Excel and Word.

  • Ability to compose and edit letters and memorandum.

  • Capacity to handle the varied activities of a large and diversified agency.

  • Strong interpersonal skills and the ability to establish and maintain effective working relationships with supervisors, program officials, employees and community partners.

  • Familiarity with community resources and their utilization.

  • Effective communication skills in English, both orally and in writing. Bilingual English/Spanish skills a plus.
