Job Description:

Under direction from the Associate Dean for Student Affairs, this full-time Academic Assistant is responsible for providing a wide range of administrative and logistical services in support of law school faculty and programs. With a focus on customer service, tasks range from general administrative support to support for teaching (class preparation, grade entry, preparation of letters of recommendation), support for research and scholarship (travel, reimbursement requests, etc), and support for various programs and projects. These academic assistants are privy to confidential records and conversations and handle multiple projects of varying complexity under changing priorities.

Provide support for faculty teaching, including, but not limited to preparing seating charts, attendance charts, and class rolls; printing syllabi; obtaining textbook adoption information; communicating with students: assisting with classroom technology; updating power point presentations; proofreading and organizing class materials and correspondence; proofreading, printing and submitting letters of recommendation; proofreading, printing and coordinating exams (working with the student affairs office); coordinating exam review; assisting faculty members with checks of the mean grades; creating charts, graphs, and graphics for presentations; retrieving and distributing student papers; and other related tasks. *This area of support requires the handling of highly sensitive information. Strict guidelines of the law school and university must be followed.

Provide general administrative support to faculty including by not limited to mailing business documents and packages; faxing, copying, printing, and scanning documents; proofreading documents and correspondence; converting PDF documents to Word; assisting with obtaining or retrieving forms, documents, information, and articles from various sources (including LexisNexis and Westlaw); filing and organizing documents and/or creating filing systems; scheduling meetings and reserving meeting space; maintaining calendars; preparing mail merges to produce letters and envelopes, and other related tasks.

Provide support for faculty members' research and scholarship, including but not limited to proofreading and editing documents (including articles, book reviews, correspondence, memoranda, documents typed by faculty, etc.); making revisions to document drafts; preparing travel requests and reimbursement paperwork; assisting with conference logistics; editing Bluebook citations; assembling research; assisting with estimating travel and professional development account expenses; booking travel assisting research assistants with paperwork; approving time for research assistants; creating tables of contents and indexes; writing and editing complex content for program proposals, research grants, publications and other program activities; and other related tasks.

Special projects and support as assigned, which may include, but are not limited to: providing administrative support to faculty committees, coordinating meeting logistics, creating flyers and posters, supporting various programs (certificates, capstone courses, legal drafting program, etc.), supporting the development of online instruction and/or interdisciplinary programs, handling travel arrangements for guest speakers, maintaining program files, compiling data and conducting research according to general instruction, updating faculty activities database and webpage, updating faculty profile pages, etc.

Provide general office support, including, but not limited to: answering telephones; routing calls; greeting and directing visitors and students; answering questions from students and the public; troubleshooting printer problems; etc.

Departmental activities and professional development, including, but not limited to: attending departmental meetings to stay informed and provide a high level of customer service and information to faculty, students, and colleagues; proficiently using a variety of programs to complete work and maintain proficiency; taking the initiative to attend and participate in development and training workshops, courses, etc., to gain new knowledge and skills and to broaden technical experience.

Expected Salary:

$17.50- 22.85 per hour

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

• Be adaptable to meet the diverse and consistently changing demands of the department and law school.

• Be able to interact in a professional manner with members of the law school community and general public, including faculty members, staff, students, and others across campus.

• Be proficient in Microsoft Office (Excel, Word, PowerPoint, Access, Publisher, and Outlook), Windows platform, and internet research; willing to learn new programs/systems.

• Be comfortable with technology and willing to assist faculty with minor issues.

The ideal team member will:

• Be familiar with Bluebooking, LexisNexis, and Westlaw.

• Have experience as a paralegal or executive assistant, as well as broad knowledge of office environments and executive administrative support needs.

• Have experience with WordPress and basic HTML.

• Have project management skills.

• Be interested in legal education/higher education/legal issues.
